Before the tent arrives.

Preparing your site for a tent rental.

Review your proposed setup area before booking. Site preparation is the renter’s responsibility. Compare our tent rental packages or ask about your setup area.

01 / Confirm your available space

A site inspection helps determine whether the tent you order will fit your needs and available space. Site preparation is the renter’s responsibility.

Allow additional space around the tent for stakes, anchoring and installation. For example, plan for a minimum 30′ × 40′ area for a 20′ × 30′ pole tent and a minimum 22′ × 32′ area for a 20′ × 30′ frame tent.

Confirm the required clearances for your exact tent and site with Imperial Party Rentals before booking.

02 / Identify underground utilities

The renter is responsible for locating possible underground utilities in and around the proposed tent area. These can include sprinkler lines, water, gas, electrical, telephone and sewage lines.

Any underground utilities in the setup area must be marked. Contact the relevant utility companies if you have questions. Arrange marking well in advance, allowing at least one week.

03 / Check overhead obstructions

Check the proposed area for tree limbs, branches, basketball hoops, power lines and any other overhead obstructions that may interfere with the tent.

04 / Discuss the setup surface

The surface affects which tent and anchoring method can be used. Review your site with our team before the event.

  • Grass: staked anchoring for pole or frame tents.
  • Asphalt: staked anchoring for frame tents. Asphalt plugs are available to patch holes.
  • Concrete: weights or water barrels for frame tents.
  • Deck: anchoring to the deck, weights or water barrels, and/or stakes in nearby grass for frame tents, depending on the site.

Weather & advance inspections

Site inspections performed by Imperial Party Rentals employees before the installation date are subject to an additional fee.

Tents are temporary shelters and must be evacuated during extreme weather. Tents are not guaranteed to be 100% waterproof.
